Speakers Bureau Lead Responsibilities

  • Fill out a speaker request form and forward either to a single speaker or e-mail to a group of speakers.

  • Retain and maintain records of assigned speakers and events

  • Arrange presentation training as needed

  • Coordinate with Carol Grote to keep on-line calendar of speaking engagements up to date. (This step is not finalized yet)

 

Speaker Responsibilities
1) Fill out a Speakers Bureau Topic Sheet and make sure it is on file with the Speakers Bureau Lead


2) Contact the Speaker Bureaau Lead FIRST when you wish to accept a speaking engagement that has been offered to either the whole group or you as an individual


3) After you have confirmed with the Lead, then contact the group or organization to make final arrangements. The Speaker Request Form has basic contact information on it. You are responsible for making detailed arrangements for your particular presentation

   a) Get detailed directions to the facility. If the facility is more than XX miles away,
  b) What kind of presentation do they want, power point, lecture, workshop, etc.
  c) Get a contact number for the day of the presentation if it is different from the one on the request form
  d) Most groups have already checked out the website and know the fees but reconfirm the number of people and the speaking fee. Remind the group that you need a check made out to University of Missouri Extension  for that amount on the day of the presentation.
  e) Is it appropriate for you to pass out/present information about the Master Gardener program? Check with the Extension office as to availability of brochures on Master Gardener community classes, plant sales, application to attend Master Gardener training, etc.
  f) After your presentation, fill out a Speaker Summary Sheet and turn it in with the check to the Extension Office.


4) If making a power point presentation, reserve the LCD projector or laptop at the extension office


5) Use discretion in making copies for presentation. Copies may be made at the Extension office but be aware of budget constraints and act accordingly. Twenty-five copies are reasonable but not 75-100 unless you have special permission from Scott


6) At this time speakers assume responsibility for their own expenses for a speaking engagement – gas, food, etc.
